Communication, being an essential part of the life of individuals
and one of the major components of normal functioning of organizations,
can involve the use of different media which serve to transmit
a message from a sender to a receiver. Our Aviation Engine
Repair Center is not an exception and our organization uses
a variety of tools in the process of communication but, in
the course of time, we have eventually arrived to the necessity
to use all media effectively so that the message could fit
the media it is transmitted by.
First of all, it should be said that, at the present moment,
we use a variety of media which may be viewed as traditional
and new ones. Among traditional media, or communication channels
that are used in our Aviation Engine Repair Center may be
named telephone and faxes. In fact, telephone is probably
the most widely spread and used channel of communication within
our organization. Basically, the communication process occurs
by means of telephone between different units or departments
of our company. For instance, the director can communicate
with a head of the department using the telephone simply in
order to find out the general information about the functioning
of the department what it actually works at or what are the
recent results of its work. Similarly, a head of the department
can communicate with the manager in order to find out the
details of some order the latter received from a customer,
or vice versa, the manager can supply the head of the department
with more detailed information about the order and demands
of a customer. By the way, the telephone communication may
be also external, when a manager communicates with a customer,
for instance, that is also quite effective as it can help
better coordinate the work of our company and wishes of customers.
Another traditional channel of communication is fax that is
basically used to the external communication of the company
with its customers, partners, suppliers, etc. Obviously, text
messages sent via fax are delivered quite fast and provide
an opportunity to receive essential information, for instance
some documentation in an appropriate form in a relatively
short period of time. In this respect, it should be said that
fax is amply used by the director, heads of departments and
a manager as they send and receive messages concerning their
work. For instance, a head of departments can send or receive
a fax message to or from a supplier concerning the more effective
use of some materials our Aviation Engine Repair Center receives.
Or else, the director can consult with our company’s
partners and receive some samples of contracts by means of
fax.
It is worthy of mention that probably one of the most effective
channel of communication within our organization is a face-to-face
meeting. In fact, it should be said that face-to-face meetings
occur quite often in our Aviation Engine Repair center though
they are not too often. In my opinion, it is extremely important
since extremely frequent face-to-face meetings threaten to
decrease the effectiveness of communication, since we will
simply get used to this form of work and, if the message is
not delivered effectively during the face-to-face meeting,
its effectiveness will be low, while occasional but not rare
face-to-face meeting help us keep our interests and attention
to this type of communication quite high. Naturally, this
channel of communication is one of the most important since
it provides an excellent opportunity for the direct and live
communication between a sender and a receiver of the message.
Practically, it means that the effectiveness of face-to-face
communication is higher since the personal contact is stronger,
not in the last turn, due to the use of both verbal and non-verbal
communication. Such a combination naturally increases the
effectiveness of communication in our organization.
Nonetheless, it is worthy of mention that in recent years
some new channels of communication have been introduced in
our Aviation Engine Repair Center. For instance, we amply
use the Intranet within our organization as an effective medium
that helps us be constantly in contact and, at the same time,
the information shared within the company remains secured
from any external breaches. However, it is worthy of mention
that Internet is also widely sued for the promotion of our
services as well as e-mail is often used as an effective channel
of communication of our company and customers.
Thus, it is obvious that the effectiveness of communication
highly depends on the channel used. In fact, it is beyond
a doubt that a face-to-face meeting of the director with heads
of department is much more important when some vitally important
questions or strategic problems are discussed because the
high level of personal contact, effective verbal and nonverbal
communication, opportunity to actively participate in the
communication are essential in such a situation. At the same
time, it would be hardly effective to organize a face-to-face
meeting, for instance, to get acquainted with a project of
some contract that the director is going to sign. Instead,
it would be more logical to use fax which is faster and easier
to use, while the information received may be effectively
evaluated. This is why it is really important that the message
fit the channel through which it is transmitted.
